This policy statement applies specifically to recruitment with the Authority and provides you with information about:
- what personal data we collect,
- how we use your data,
- who we share your data with,
- how long we hold on to your data for,
- how we ensure your privacy is maintained, and
- your legal rights relating to your personal data.
HSA Recruitment Portal
We maintain a microsite at http://recruitment.hsa.ie/ that serves as a dedicated recruitment portal, supporting the online application process for vacancies at the HSA. When certain recruitment competitions commence, we list the vacancy and its relevant details on the Recruitment section of the main HSA website. We also include a link to the recruitment portal at the foot of the job description, so interested applicants can commence the application process.
What personal data do we collect from you on this site
This Privacy Statement covers any Job Application Data you submit to us, such as:
- name, address, email address, telephone numbers, or other contact information,
- information contained in your application form, CV or cover letter, such as previous work experience, education, or other information you provide for our consideration,
- names and contact information for references.
Please note that it is your responsibility to obtain consent from any potential referees before providing their personal information to us.
For the avoidance of doubt, the Health and Safety Authority does not wish to receive any confidential or proprietary information which you have received from your previous employers.
What personal data does this website collect using cookies
The only cookies used on our HR recruitment portal are google analytics cookies. We monitor usage of the portal through an associated Google Analytics account.

How we use your data
We will only use the personal data collected from you for the purposes of processing your application for this position. From time to time we may wish to email you regarding other positions that are available with the Authority.
Who we share your data with
Only select employees of the Health and Safety Authority - such as the Human Resources Unit, members of the shortlisting panel, members of the interview board, your potential future manager(s) and the IT Unit. We will not disclose your personal information for any purpose which is not connected with the job application.
We may also disclose your data on a confidential basis to select employees of our external service providers who support us with the administration of recruitment applications and selection processes.
Our recruitment portal is a managed hosted service and we have agreements in place with those who process data on our behalf that they will only process it as directed by us and in line with our commitment to you regarding your privacy. We will also take all reasonable steps to ensure that such entities comply with their obligations under GDPR when they handle your personal information.
How long we hold your data for
It is our aim to only hold your data for as long as necessary. We will store your record on file for 12 months from the date when the final interviews for this competition take place or 6 months from the date of expiry of the resulting panel, whichever is the later date.
How we ensure your privacy is maintained
We take data security seriously and employ the most appropriate physical, technical, administrative and organisational measures designed to protect the confidentiality and integrity of your personal information. Our web portal is hosted in a secure environment using top of the range hardware, security and encryption methods. It sits on a physical machine in Ireland (Dublin West) with encrypted disaster recovery backups stored on an Amazon virtual machine, which is GDPR compliant.
Your legal rights relating to your data
You have the right to:
- ask what personal data we hold about you at any time,
- ask us to update and correct any out-of-date or incorrect personal data that we hold about you free of charge, and
- have any personal data about you deleted.

Providing your job application data is voluntary. By entering a recruitment competition you agree to us processing your data as outlined above. You are entitled to withdraw your consent at any time and you will then be removed from the competition and your personal data will be deleted.
